This Data Retention Addendum (“Addendum”) forms part of the Omega EDI Terms of Service (“Agreement”) and describes how Omega EDI retains and manages data submitted to or generated through the Omega EDI platform (“Services”).
1. Purpose and Scope
The Services are designed to process business and operational data related to job management, workflows, payments, reporting, and account administration. This Addendum is intended to provide transparency regarding data retention practices applicable to such data.
2. Definitions
“Business Data” means data relating to Customer’s business operations, including job records, invoices, attachments, workflow data, system logs, and other non consumer operational data submitted to or generated through the Services.
“Personal Data” means personal information that may be incidentally included in Business Data, such as names, contact details, or profile images of Customer’s employees or contractors.
“Retention Period” means the length of time data is stored before deletion or anonymization.
3. Data Retention Principles
Omega EDI retains data only for as long as reasonably necessary to:
Provide, operate, and support the Services
Maintain business records and system integrity
Comply with applicable legal, regulatory, or contractual obligations
Resolve disputes and enforce agreements
Retention periods vary based on data type and operational purpose.
4. Data Retention Schedule
Unless otherwise required by law or agreed to in writing, data is retained in accordance with the following schedule:

Autobiography / Profile Narrative Content | 3 years |
Attachments (including images and uploaded documents) | 3 years |
Technician Geolocation Data | 60 days |
Closed Accounts with No Activity | 5 years |
All Other Business Data | 5 years |
5. Account Closure
Upon closure or termination of an account, data associated with the account may continue to be retained for the applicable Retention Periods set forth above unless:
Deletion is required by applicable law, or
Deletion is requested by Customer and retention is not legally required
6. Deletion and Anonymization
At the expiration of the applicable Retention Period, Omega EDI will:
Securely delete the data, or
Anonymize or aggregate the data so it can no longer be reasonably associated with a specific Customer or individual
Deletion and anonymization are performed in accordance with Omega EDI’s security and data handling standards.
7. Security Measures
Omega EDI maintains administrative, technical, and organizational safeguards designed to protect Business Data against unauthorized access, disclosure, alteration, or destruction.
8. Legal and Regulatory Exceptions
Notwithstanding the retention periods described herein, Omega EDI may retain data for longer periods where necessary to:
Comply with applicable laws or regulations
Respond to lawful requests from courts, regulators, or governmental authorities
Preserve data relevant to audits, investigations, or legal proceedings
9. Updates to This Addendum
Omega EDI may update this Addendum from time to time to reflect changes in operational practices or legal requirements. Material changes will be communicated in accordance with the Agreement.
10. Order of Precedence
In the event of any conflict between this Addendum and the Agreement, this Addendum shall govern with respect to data retention and deletion practices.
