The Omega EDI Route Optimizer automatically builds the most efficient daily routes for your mobile technicians. Give it a day's worth of appointments and your available technicians, and it assigns every job to the right tech, in the right order, at the right time. Omega factors in real-world drive time, requested appointment windows, technician skills, capacity, breaks, scheduled time off, and even glass pickup stops at your suppliers.
Before you Start
The optimizer is only as good as the data you give it. For best results, make sure:
Appointments have valid service addresses. Appointments without a valid service address are skipped by the optimizer.
Appointments have requested time windows. The optimizer will only schedule stops within each appointment's requested window.
Technicians have starting/ending addresses. Each technician needs a starting address (and optionally a different ending address). If a technician has no address, their shop location's address is used.
Skills are assigned. If you use skills (e.g. ADAS calibration), tag both the appointments that require them and the technicians who have them so that the optimizer can assign the correct technician.
Labor hours are set on your items. The optimizer uses labor hours to estimate on-site time. By default, a windshield installation is 1 labor hour.
Using the Optimizer
Open the Appointments page, filter to the date (and location/territory) you want to route, then click the Route Optimizer button.
Step 1 — Appointments
Select which appointments to include. The table shows each appointment's job number, requested window, service address, labor hours, tags, required skills, and the currently assigned technician (if any).
Notes:
In-shop appointments keep their scheduled time. The optimizer will assign an in-shop tech if available; if no in-shop tech is available the optimizer may assign a mobile technician.
If an appointment already has been started the optimizer will not move it — it only plans around it.
Appointments without a mappable address are excluded from the route.
Step 2 — Available Technicians
Pick which technicians are available to run routes. For each technician you can set:
Column | What it does |
Start / End | The technician's route window for the day (defaults to 8:00 AM – 5:00 PM). The optimizer will not schedule them outside this window. |
Capacity | The maximum number of jobs for this technician (enforced only when "Allow technician capacity to be exceeded" is off — see Step 3). |
Start / End addresses | Where the route begins and ends. Defaults to the technician's saved starting/ending address, falling back to their shop location. |
Notes:
Time off. A technician with time off gets it treated unavailable; time off ending in the morning pushes their route start later; time off starting that afternoon ends their route earlier. Technicians with the full day off are excluded.
Daily breaks. If a technician has a configured daily break configured the optimizer plans stops around it.
In-shop-only technicians stay at the shop; mobile technicians are limited to roughly 200 miles of total driving.
Limit: Up to 40 technicians can be optimized at a time.
Step 3 — Optimization Settings
This is where you control how the optimizer thinks. There are five settings: the Optimization Strategy plus four toggles under Advanced Settings.
Timezone
The timezone used to interpret the route and all start/end times. It defaults to your current timezone; change it if you're dispatching for a territory in a different timezone.
Optimization Strategy
Strategy | What it does | When to use it |
Balanced (default) | Spreads the work as evenly as possible across your selected technicians — it minimizes the longest technician's day and balances the number of stops per tech. | You want everyone to do their fair share and no one overloaded. Best for typical days with a full crew. |
Optimal | Allocates appointments in the most efficient way possible using as few technicians while minimizing total completion time. | You want maximum efficiency and don't mind some technicians getting few (or zero) stops on slower days. Good for light days or when minimizing miles driven time is the priority. |
Advanced Settings
Allow optimizer to override current technician
When enabled (default), the optimizer is free to move any appointment to whichever technician produces the best overall routes. When off, appointments that already have a technician are locked to that technician; the optimizer will only decide the best order and timing of their existing jobs. Unassigned appointments will be assigned to the best technician. Turn this off when you only want the driving order optimized.
Only assign a technician with required skills
When enabled (default), an appointment that requires a skill (e.g. ADAS calibration) will only be assigned to a technician who has that skill. Jobs that no available technician is qualified will be unassigned. When off, skills are ignored entirely and any technician can be assigned to any job.
Allow technician capacity to be exceeded
When enabled (default), the optimizer ignores technician capacity and will assign as many jobs as fit in each technician's time window. When off, each technician is hard-capped at their capacity — once they hit that number of jobs, the optimizer moves on to someone else, and overflow jobs may come back unassigned.
Allow optimizer to consider Purchase Order stops
When enabled (default), the optimizer looks for open will call purchase orders for the selected appointments and automatically routes the technicians in a way that they can efficiently pick up will call parts. When off, supplier pickups are not routed.
Setup Time (minutes) (default: 15)
The fixed prep time at the start of each stop before the actual work begins. This is carved out of each job's estimated on-site time (a 1-hour job becomes 15 minutes of setup + 45 minutes of work), so the total time at a stop doesn't change. What *does* change: when a technician has back-to-back jobs at the same location, setup time is only counted once — sequential appointments are scheduled faster, packing multi-vehicle stops (fleets, dealerships) more realistically.
Increase it if your techs need longer to stage each stop; set it to 0 to treat every job's full time as working time.
When you're ready, click Optimize. The optimizer will work for a few seconds to a couple of minutes depending on the size of your schedule and number of technicians.
Step 4 — Results
When the optimization finishes, scheduled times and technicians are automatically applied to the appointments. The Results step shows a summary of what happened.
Unassigned jobs: if any jobs couldn't be routed, expand this section to see each job number along with the optimizer's reason — for example, that the job couldn't be completed within its requested time window, or no qualified technician was available.
You can click Back to adjust settings and re-run the optimization.
Reviewing Past Optimizations
The Route Optimizer report (in Reports) shows a history of every optimization run: the date, who ran it, location and territory, how many appointments and technicians were involved, how many jobs went unsolved, total distance, driving/waiting/working hours, efficiency, and any errors reported for unassigned jobs.
Troubleshooting
Symptom | Likely cause / fix |
"Missing starting/ending address for technician …" | That technician has no usable address and their location has no coordinates. Add a starting address to the technician (or their location) and re-run. |
An appointment is unassigned after optimizing | Expand Unassigned jobs on the Results step and read the reason. Common causes: the requested window is too tight for the drive, no selected technician has the required skill, or all qualified techs are at capacity. |
A technician got far more/fewer jobs than expected | Check the strategy (Balanced vs Optimal) and the capacity setting — with "Allow technician capacity to be exceeded" on, capacity numbers are ignored. |
