How to Create Accounts

This article will go over the steps for creating an account.

To start, navigate to the Accounts Page under Admin.

On this page you will want to click the yellow circle with a + in it.

Select New Account.

For Batch Imports, click here

Basic Tab

You’ll want to put the name of the Account in the Name field.

Type is where you will put the type of account it is.

  • Insurance: The Insurance Company, often selected for the EDI account

  • Insurance/Claims Office: Is for the Claims office of an Insurance Company

  • Insurance/Agency: Is for an agency that is of that Insurance company, like an Insurance Agent

  • Gerber: For Gerber accounts

  • Commercial/Fleet: For accounts that have a Fleet

  • Commercial/Body Shop: For Body shops that you do work with. I.E. Bill’s Auto Body

  • Commerical/Rental: For Rental Car Companies that you do work with. I.E. Hertz Rental Car

  • Commerical/Dealership: For Dealerships that you do work with. I.E. Dave’s Auto Cars

  • Commerical/Government: For Government Agencies you do work with. I.E. Gordon County Schools, City of Denver

  • Commerical/Wholesale: For Wholesale companies that you work with.

  • Commerical/Other: For all other Businesses that you do work with.

  • Individual Pay: For customers who pay out of pocket and don’t fit into the other types

  • Vendor: For custom vendors that you order glass from that we do not have a direct integration with.

  • Corporate/Non-billable: For corporate accounts that are not being billed for jobs

Check this box if the account is able to be marked as a referrer.

Invoice Method would be where you select the method that the invoice will be sent by.

  • Manual/Printed: For invoices that would be printed off and given to the customer manually.

  • Lynx(EDI): For account invoices that are sent electronically to Lynx.

  • Safelite(EDI): For account invoices that are sent electronically to Safelite. Will populate a field for Program ID that will need to be entered.

  • GNCS(EDI): For account invoices that are sent electronically to GNCS.

  • Quest(Email): For account invoices that are sent by email to Quest

  • Email: For account invoices that are sent by email. Will populate field for Email address to be entered

  • Fax: For account invoices that are sent by fax. Will populate a field for Fax number to be entered.

Check this box to enable all pricing profiles to be used.

This field is for the default pricing profile that will appear when this account is selected.

This field is for any other pricing profiles you would like available for this account.

This field is for the individual you would like to assign as the manager of this account.

This field is for a default campaign that will appear on the job when this account is selected.

This field is for the parent account that would be the account that this account reports to. I.E. Dave’s Auto Dealers is the parent account of Dave’s Toyota.

Check this box if Statements go to the Parent account.

This field is for specific notes for this account that will appear in the account information on the job. I.E. Dave’s Toyota is closed on Sundays. Do not schedule on Sundays.

Contact Tab

On this tab, you will enter in contact details for the Account

Contact Name is for the person who is contacted for the account and the name that appears in the first and last name fields.

Address would go in the fields as needed.

Telephone and Alternate phone numbers would go into these respective fields.

Email would be the default email for the account that they receive contacts.

Check this box to have the information appear in every job that is created for this account.

This box is for a default service address.

Accounting Tab

On this tab is where some information about billing goes for the account. Three fields are primarily used for this tab.

Check this box if the account is tax exempt.

If there is a tax exempt ID that goes in this field.

This dropdown sets the terms of the account.

  • COD: Payment is due immediately.

  • Net 15: Payment is due 15 days after invoice date

  • Net 30: Payment is due 30 days after invoice date

  • Net 45: Payment is due 45 days after invoice date

  • Net 60: Payment is due 60 days after invoice date

Once these fields have been filled in, hit save and that will save the account.
